Resume vs CV vs biodata in India: which one to send

In India the three words are used loosely, which is why people send a five-page CV to a company that wanted one page. Here is what each document is for, and how to decide in a minute.

In short

  • A recruiter who says 'send your CV' usually means a one- or two-page resume. Send a long CV only for academic, research or fellowship applications.

The formal difference is real. A resume is edited down to what supports one application. A CV keeps everything, which is the point for a researcher whose publications and grants are the evidence. A biodata, as the word is used in India, is a document that puts identity details before achievements.

What people mean when they say CV

In everyday Indian usage, 'CV' is very often used for what is formally a resume. Recruiters, WhatsApp groups and college placement cells all say it that way. So a request for your CV is a request for your best document for that job, and for most private-sector roles that means a resume of one page for freshers, or one to two pages with experience.

The exceptions are specific and usually stated: a university post, a research role, a fellowship, a PhD programme, a teaching position in higher education. There the record is the evidence, and length is not a fault.

Which one to send

    A company, portal or recruiter asks for your CV

    Send a resume. One page for freshers. Keep it single-column with standard headings so portals read it.

    A research, teaching or fellowship application

    Send a CV: education, research, publications, conferences, teaching, grants, references if the call asks for them. Two pages is typical, and more is acceptable for academic CVs.

    A government, PSU or bank form

    Ask in one line: 'Would you like a one-page resume or a detailed CV?' Most recruiters answer in seconds and appreciate the question.

Length, in numbers you can use

For resumes, the working rule we follow is one page for freshers and for up to about three years of experience, one to two pages from three to ten years, and two pages for ten years or more. Three pages is acceptable only for an academic CV. Indian fresher resumes routinely run three or four pages, which is more than most employers will read.

One master record, several versions

The cleanest habit is to keep one master list of everything you have done, with dates, numbers and links. From it you cut a resume for a job, a CV for an academic application and a biodata for a government form. Employers compare what you send them, and your LinkedIn and Naukri profiles, with each other. Change what you emphasise between versions. Do not change what is true.

What stays the same in all three

  • Everything on it is true, with dates given as month and year.
  • No Aadhaar, PAN, passport or bank numbers on any of them.
  • Titles, employers and dates match your LinkedIn and your documents.
  • A professional email and one phone number.

Questions people ask

My recruiter asked for a CV. Should it be five pages?

Almost certainly not, unless the role is academic or research. For private-sector jobs, 'CV' normally means a resume. Send one page if you are a fresher, and one to two pages with experience. If you are unsure, ask the recruiter in one line.

Is a CV the same as my LinkedIn profile?

No. LinkedIn is a living profile and a CV is a document you send. They should agree on titles, dates and education, because employers and verification firms compare them.

Can I use a biodata for a private job?

It is not recommended. Its personal-detail fields add nothing for a private employer and invite judgments unrelated to work. If an employer explicitly asks for one, send it as a separate file and keep your main resume clean.

Do I need a cover letter as well?

It is optional. Some hiring managers read them and many do not. A short, tailored note helps most on MNC portals, on email applications and in non-technical roles, and does little when it repeats the resume.

How many pages for a professional with 12 years of experience?

Two pages is the ceiling. Spend them on the roles and results that match the target job and compress older roles to a line each. Three pages is for academic CVs.
