Resume and biodata format for government and PSU jobs
Government and PSU applications run on rigid forms and notices, and the biodata fields that private employers dropped are still asked for. The rule is simple: give what the form asks for, exactly, and nothing it does not.

In short
- The notice and the online form come first. A resume or biodata like this one is for interviews and document verification.
- Keep a separate version with photo (about 30 by 38 mm), date of birth as on the Class X marksheet, father's name, nationality, category only if asked, permanent address and a declaration with place and date.
- List Class X and XII with board and percentage, and competitive exams with year and result.
- Even here, never put Aadhaar, PAN, passport, bank or UAN numbers on the document.
What we know, and what we do not
The layout, in order
- 01
Personal details
Name, father's name, date of birth, nationality, category if asked, permanent address, phone and email. Photo if the notice requires one.
- 02
Objective
One or two lines naming the post you are applying for. An objective is acceptable here, though not for private jobs.
- 03
Education with boards
Class X and XII first or last as the form orders them, each with board, school, year and percentage, then degree with university and score.
- 04
Competitive exams
Name, year and result for exams you have qualified, such as a tier or stage cleared.
- 05
Experience
Employer, role, dates and two or three lines on what you handled, with counts.
- 06
Skills and languages
Computer skills, typing speed if relevant, and languages you read, write and speak.
- 07
Declaration
A one-line declaration with place, date and a signature line on the printed copy.
Personal details, written exactly
These fields are checked against documents, so accuracy beats style. Write the date of birth in DD/MM/YYYY exactly as it appears on your Class X marksheet, even if another document shows a different spelling or date. Use your father's name as the form's other documents spell it. Give the category only if the notice asks, and in the form it asks for.
Personal details for a government form
Education with boards
Government forms ask for school marks with the board's name, so Class X and XII stay on this version whatever your experience. Write the percentage as printed and the year of passing, and do not round. If your degree gives a CGPA, convert only by the university's published formula and say so, as covered in CGPA vs percentage and school marks.
Competitive exams
List exams you have actually qualified, with the year and the stage or result you can document, such as 'Tier I qualified, 2024'. Leave out an exam you only registered for. A rank or score belongs here only when a scorecard shows it, since selection boards compare what you write with what you submit.
The declaration
This is the one place the declaration still earns its line. Keep it to a single sentence stating that the details are true to the best of your knowledge, then add the place, the date and a signature line on the printed copy. Naukri's blog publishes sample wording, and the notice may prescribe its own. It does not belong on a private-sector resume; see what to remove from an Indian resume.
What stays out, even here
Do not write an Aadhaar, PAN, passport, bank or UAN number on the document, even if a form field elsewhere asks for one. Give those only inside the official portal at the step that requires them. Keep salary out, and be wary of any unknown contact on WhatsApp who asks for ID numbers or documents before an official process begins. The wider difference between documents is set out in resume vs CV vs biodata in India.
Before you submit: a short checklist
- I read the notice and my document follows its order and field names.
- Date of birth is DD/MM/YYYY exactly as on the Class X marksheet.
- Class X and XII appear with board, school, year and percentage.
- Competitive exams list only stages I have documents for.
- The declaration is one line with place, date and a signature line.
- No Aadhaar, PAN, passport, bank or UAN number appears anywhere.
- This version is kept separate from my private-sector resume.
Questions people ask
Can I use the same document for private jobs?
No. The personal-detail fields add nothing for a private employer and invite judgments unrelated to work. Keep this version for government and PSU applications and document verification.
What date format should I use for date of birth?
DD/MM/YYYY, copied exactly from your Class X marksheet. If another document differs, resolve that with the issuing authority and do not choose the version you prefer.
Should I write my category on the document?
Only if the notice or form asks for it, and exactly in the form it asks. Otherwise leave it out.
Does this builder write a Hindi biodata?
The resume itself is written in English. If a notice requires a Hindi biodata, follow its format. A Hindi interface is on our roadmap.
Is a photo required?
Notices usually say so. When one does, attach it as instructed, at roughly passport size. When it does not, leave it off.
